The contact form

Wolfaxen is Ali Raza, working on his own. This page says what he collects when you get in touch, why, who else touches it, how long it is kept, and what you can ask for. Nothing is sold, and you will not get marketing emails unless you have said yes to them.
The data controller is Wolfaxen (Ali Raza), based in the UK. For anything on this page, email info@wolfaxen.com or call 07519 244 960. You will get Ali, not a privacy team.

Before the chat opens you give your name, email address and, if you choose, a phone number. You get a confirmation email. When the chat ends, the conversation is summarised by an AI model and the summary and transcript are emailed to Ali, and a copy goes into the Google Form backup. Please do not put anything sensitive in the chat.
Your answers to the questions, the score and suggested fit they produce, your name, email address, company, and, if you give them, your phone number, role, team size and a preferred time for a call. The score is a suggestion, not a decision. Ali reads every fit check himself before anything happens. A copy is kept in a Google Form as a backup so a submission is never lost, and the details and answers are sent to Ali by email and by a private Telegram message.
If we speak, Ali takes notes. He only records a call if you say yes at the start. A recording stays on his own machine and is deleted once he has written a summary. Only the written summary is kept with your enquiry.
If you use the Company Memory tool, your login email and what you upload to it are stored so the tool can work.
Pages viewed, rough location, device and browser type, through Google Analytics, plus the standard request logs any web host keeps.
To answer your enquiry, to arrange a call and prepare for it, and, if you become a client, to do the work and invoice for it. It is also used in aggregate to see which pages people read. That is the whole list.
These companies handle data on Wolfaxen's behalf. None of them is allowed to use it for their own purposes beyond running their service.
Some of these are based in the US or store data there. Where data leaves the UK, it goes under the safeguards UK law requires, such as the UK-US data bridge or the standard contractual clauses the provider signs.
Enquiries and leads are kept for 12 months from the last time we were in touch, then deleted, unless you become a client.
Clients are kept for as long as we work together, plus 6 years, because UK accounting rules require records to be kept that long.
Call recordings, if you agreed to one, are deleted once the written summary is done.
The site uses Google Analytics, which sets cookies (named _ga and _ga_*, kept for up to two years) to count visits and see which pages are read. They are only set after you click Accept on the cookie notice; until then Google Analytics does not load at all. You can change your choice any time with cookie settings, or block them in your browser or with Google's opt-out add-on and the site will work the same.
Apart from that, only strictly necessary storage is used: your cookie choice itself, and the login session for Company Memory and for Ali's own admin pages. No advertising cookies, and nothing is used to follow you around other sites.
Email info@wolfaxen.com and Ali will reply within one month. There is no charge.
If you are unhappy with how your data has been handled, please say so first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Your data is not sold or shared for anyone else's marketing. You are not added to a mailing list unless you opt in. No decision with a legal or similar effect on you is made by software alone.
If this notice changes, the date at the top will change with it. Last updated 9 October 2026.
